CASE STUDY
How Dedicated Computing Deployed 3 eQMS Modules in 6 Weeks and Improved Quality Visibility with Trackmedium

Challenge

Dedicated Computing has experienced multiple eQMS transitions, but continued to face structural limitations.

Quality processes were fragmented across three or more systems, with document control, training, and Corrective Action Management managed separately. This created inefficiencies, duplication, and a lack of end-to-end visibility.

Training management was particularly challenging. There was no centralized visibility into assigned or overdue training, meaning the quality team had to manually chase employees across the organization. Accountability sat with a small number of individuals rather than being distributed across managers.

Document control processes were also incomplete. While documents were stored in SharePoint, there was no fully integrated workflow covering approvals, revisions, traceability, and e-signatures.

Previous systems did not fully align with Dedicated Computing's specific requirements and ways of working:

    • Arena proved cost-prohibitive over time
    • QT9 lacked the flexibility needed to adapt to their processes
    • ZenQMS required building workflows from the ground up, demanding a level of internal resource that was not aligned with their approach

As a result, the organization faced high administrative overhead, limited scalability, and low user confidence in its quality systems.

About

Dedicated Computing is a U.S.-based manufacturer of purpose-built computing platforms for regulated and mission-critical environments, including healthcare, life sciences, and industrial applications. Solution

The decision ultimately came down to a combination of usability, flexibility, and speed to value.

Trackmedium provided a strong out-of-the-box foundation, while still allowing the team to configure workflows to their exact requirements without technical dependency. This balance avoided both extremes the company had previously evaluated; rigid systems on one side, and fully DIY platforms on the other.

The user interface also played a critical role. From the first interaction, users found the system intuitive and easy to navigate, which significantly reduced resistance to change.

The modular architecture allowed Dedicated Computing to deploy the system in phases, rather than committing to a full-scale implementation upfront. This provided greater control, reduced risk, and enabled faster results.

Administrative simplicity was a key differentiator. User management, permissions, and system configuration can be handled internally without reliance on vendor support, reducing ongoing operational friction. The platform's concurrent user model (rather than named users) simplifies access management, while features such as a configurable 30-minute inactivity timeout provide additional control without adding administrative overhead.

Modules deployed:

Document Control
Control, automate, and track your entire document lifecycle. Ensure compliance, assign training, and eliminate manual work in one centralized, secure platform built for regulated, quality-focused teams.
Training Management
Keep your workforce compliant and audit-ready with automated, role-based training that ensures the right people get the right training at the right time.
Corrective Action Management
Automate and optimize your Corrective Action process to reduce risk, boost efficiency, and maintain compliance. All while connecting seamlessly with your broader eQMS.

Results

The impact of Trackmedium was immediate, particularly in speed of deployment and user adoption.

Three core modules (Document Control, Training Management, and Corrective Action Management) were fully live within six weeks. This exceeded expectations, with the team initially anticipating a much slower rollout.

Training visibility improved significantly. Where previously the quality team manually chased compliance, managers now have direct visibility into training assignments and overdue tasks. Accountability has shifted from centralized control to distributed ownership across the organization.

Administrative overhead has reduced through consolidation of systems. Moving from three separate tools to a single platform has eliminated duplication and reduced time spent switching between systems. Early indications suggest a reduction in administrative effort through consolidating multiple systems into a single platform, with further gains expected as reporting and dashboards are expanded.

The introduction of a single source of truth has improved consistency and confidence across the business. Documents, training records, and Corrective Action Management processes are now fully integrated, reducing confusion and improving traceability.

User adoption has been notably strong. Feedback from users indicates an immediate positive impression of the platform, contrasting sharply with previous systems that generated resistance and frustration.

Integration capabilities also delivered value. APIs were successfully implemented to connect customers, suppliers, and materials, with any issues resolved rapidly, typically within 48 hours.

From an audit perspective, the organization is now better positioned to manage ISO, FDA, and customer audits. Structured workflows, improved traceability, and faster access to documentation have strengthened overall audit readiness.

Finally, internal teams have achieved a high level of self-sufficiency. Administrative tasks and system configuration are managed internally, reducing reliance on vendor support and improving agility.

Business Impact

Trackmedium has enabled Dedicated Computing to move from a fragmented, manual quality environment to a unified, scalable platform.

Operational efficiency has improved through system consolidation and automation. Quality processes are faster, more structured, and easier to manage.

The platform provides a strong foundation for future growth. Additional modules such as Change Management and Equipment Management can be deployed as needed, without disrupting existing processes.

Culturally, the system has achieved strong adoption, with users engaging positively and confidently. This is critical in ensuring long-term return on investment.

Most importantly, quality has shifted from being an administrative burden to a more structured and proactive function, better aligned with the organization's operational and compliance goals.

"Other systems were either too rigid or required building everything from scratch. Trackmedium strikes the right balance between out-of-the-box capability and flexibility."

- Jacquelyn Lynch,
PMO and Quality Manager

Transformation Summary

Dedicated Computing successfully transitioned from a fragmented, multi-system quality environment to a unified eQMS platform in just six weeks

By combining strong out-of-the-box functionality with deep configurability, Trackmedium enabled the organization to accelerate deployment, improve visibility, reduce administrative burden, and establish a scalable foundation for future quality maturity.
